Every organisation already has folders. The reason a folder never solved the problem is that it has no opinion: it holds whatever was dropped into it, in whatever state, for as long as nobody deletes it. Ask a folder whether a file is complete and it has nothing to say.
A dossier is a folder that was told what it is for.
It starts from a process
In DOK Genius a process is the template. It declares the documents a case of that kind is expected to hold — an identity document, a signed contract, a certificate with a validity period — along with who approves them, which fields have to be filled and which part of the organisation the case belongs to.
Opening a dossier materialises that template. The expected documents become real entries immediately, before anything has been uploaded, each one already knowing whether it is mandatory, how many files it accepts and when it will need renewing. An empty dossier is therefore not empty: it is a complete list of what is missing.
The declarations are copied into the dossier rather than referenced. A process edited next quarter does not silently rewrite what last quarter's cases were asked for — which is what makes an audit trail worth reading.
Status is not the same thing as progress
Each entry carries its own state — missing, partial, uploaded, validated, needs correction, expired — and those states are about the document, not about the case. A case can be well advanced with an expired certificate in it, and a case can be nearly untouched with every mandatory item already validated. Two different questions, two different answers, and folding them into one percentage loses both.
The case has its own lifecycle on top: preparation, review, decision, processing, closure. A submission with a mandatory document missing is refused there, at the point where somebody is trying to move on.
Why this is the whole product
Everything else follows from it. Reminders are possible because expiry is a property. Approvals mean something because the thing being approved is identified. Search is trustworthy because the current version is a fact rather than a guess. And an assistant reading the dossier is reading a decision that was already made, by a person, in advance.
A folder can be tidied. A dossier can be finished.
