Every industry has its own dossiers, deadlines and confidentiality rules. Here is how DOK Genius handles the document work of seven of them.
Legal
Law firms and legal departments
The problem
Each matter depends on a complete file — powers of attorney, contracts, filings, evidence — spread across email and shared drives. A missing or expired document is discovered at the worst moment, and confidential material circulates without control.
How DOK Genius handles it
A document process per matter type prescribes the required documents; every new case opens as a guided dossier that shows exactly what is missing.
Confidentiality levels and role permissions control who sees each dossier — and Genius answers respect the same rules.
Validity dates on documents flag expiring items, and the audit trail records uploads and decisions with author and date.
Complete case files before deadlines, controlled confidentiality, and answers like "which cases are missing the power of attorney?" in seconds.
Human resources
Employee onboarding and records
The problem
Every hire needs a signed contract, an occupational health certificate, identification and more — each with its own validity. HR chases documents by email and only finds the gaps during an inspection.
How DOK Genius handles it
An onboarding process prescribes the employee dossier: signed contract, health certificate, ID — with minimum files and validity rules per document.
The guided dossier shows progress (2 of 3 complete) and the next action; submission is blocked while mandatory documents are missing.
Expiring health certificates surface on the dashboard, and Genius answers "which admissions are missing the medical certificate?".
Onboarding without chasing, employee files that are always inspection-ready, and expiry dates that never surprise you.
Healthcare
Clinics, hospitals and care providers
The problem
Administrative and staff documentation — licenses, credentials, insurance, consent forms — carries high confidentiality and hard deadlines, while auditors expect to see who handled what, and when.
How DOK Genius handles it
Document processes per record type keep each dossier structured, with required documents and validity per item (licenses, credentials, insurance).
Tenant isolation, confidentiality levels and role-based access are enforced everywhere — including before any content reaches the AI.
Uploads, approvals and dossier attachment downloads are audited, so compliance reviews start from evidence instead of reconstruction.
Sensitive documentation under control, credentials renewed before they lapse, and audits answered with a trail instead of a scramble.
Engineering
Technical teams and field operations
The problem
Technical dossiers — certifications, inspection reports, equipment records, safety documents — expire on different schedules, and an out-of-date certificate can stop a project or fail an audit.
How DOK Genius handles it
A process per dossier type (equipment file, site file, certification renewal) prescribes the documents and acceptable file types.
Validity tracking marks each document as up to date, expiring or expired, with the dashboard highlighting what needs attention in the next 30 days.
Approval flows record the engineer sign-off before a dossier advances, and Genius finds the right document across projects instantly.
Certifications renewed on time, complete technical files per asset, and no project stopped by a document nobody was watching.
Finance & accounting
Accounting firms and finance teams
The problem
Each client and each fiscal period demands a set of documents delivered on a calendar — statements, declarations, supporting records. Gaps are found at closing time, when it is most expensive to fix them.
How DOK Genius handles it
A process per client engagement or fiscal period prescribes the expected documents, so every dossier starts with a clear checklist.
Progress and SLA tracking show which client files are complete, which are pending and which are overdue — across the whole portfolio.
Genius answers questions like "which clients have not delivered the bank statements?" using only dossiers the asker may see.
Closings without last-minute chases, a portfolio-wide view of what is missing, and client files that are always ready to hand over.
Motor insurance
A claim notified once, opened without retyping
The problem
A claim arrives as an e-mail with photographs, the accident report form and a licence, forwarded between three inboxes. Somebody reads it, opens the claim in the core system by hand, and chases whatever is missing. The customer waits days to hear a claim number, and when a file is later disputed nobody can say which photograph arrived when.
How DOK Genius handles it
The notification is submitted once and opens the claim dossier by itself, with the report form, the photographs and the licence each filed in their own place and the missing ones named.
Policy number, plate, date and parties are read off the documents; anything the reading is unsure of is flagged for a person instead of guessed.
Once the dossier is complete, the claim is opened in the insurer's own system and the dossier closes on the claim number it returns.
A complete notification becomes an open claim the same day, and the dossier keeps the trail of what arrived, what was read and what was sent.
Freight forwarding
An import cleared before the container starts costing money
The problem
Each shipment brings an invoice, a packing list, a bill of lading and a certificate of origin, arriving from three parties on their own schedule. A clerk keeps a spreadsheet of what is still missing and retypes the values into the customs declaration. A certificate that turns up late, or a value typed wrong, means demurrage on a container sitting at the port.
How DOK Genius handles it
The shipment's dossier lists exactly which documents it needs and shows, at a glance, which ones are still outstanding and from whom.
Values, weights and codes are read from the documents that carry them, so the declaration is built from what was received rather than retyped.
With the dossier complete, the declaration is submitted to the customs system and the dossier closes on the reference it returns.
The wait stops being a hunt for whoever holds the certificate and becomes a queue anyone can read, and the declaration matches the documents because it was built from them.
Car finance
Car finance without the attachments going back and forth by email
The problem
A car loan needs papers from the buyer and papers from the dealer, and they travel as attachments. Somebody has to work out which version is the current one, the same identity document sits in four inboxes, and the person waiting has no way to see what is still missing.
How DOK Genius handles it
Collecting: the buyer opens a link, sees the list of documents the process asks for, and uploads them into the dossier itself — no account, no attachment, and the list shows what is still outstanding.
Delivering: the dealer opens a link that shows the signed contract and the schedule read-only, so a copy is not made in order to be read.
The limits are part of the feature: a link is issued only for a dossier the tenant classified as public, it expires, it can be withdrawn at any moment, and what was opened or uploaded through it is recorded.
The documents live in one place instead of in several mailboxes, and the question "which version is the good one?" stops being asked.
These scenarios are illustrative examples of how DOK Genius capabilities apply per industry — they are not client references.
